Our idea management software in use
Incoming ideas can be processed by the idea manager (central model), by the line manager (line manager model) or as a selection for the employee (hybrid model). By importing personnel data (e.g. SAP© or engage), the submitter can be automatically assigned to the line manager.
Ideas are entered by the employee at the workplace, via a mobile device or in production via kiosk PCs. Ideas can also be entered by other people (e.g. team leaders, foremen, idea managers) on behalf of the employee. A history shows who has carried out which processing steps in the software. The initial pages of the software can be customized depending on the person working with the software. For example, central functions (quick links) can be placed in the foreground for people who only work with the system sporadically. Other groups of people could, for example, be shown important key figures right from the start. The content of the pages can be prepared in a plant-specific, department-specific or user-specific way.
When entering a new idea via a mobile device or desktop PC, the user (submitter) is supported by comprehensible forms coordinated with the customer and the assignment of clearly recognizable tasks. Task folders in the navigation bar draw the users attention to tasks that are currently pending.
Once the idea has been recorded, every further processing step takes place within the software. The supervisor or idea manager (depending on the idea model used) is informed of the receipt of an “idea” and initiates further processing. Expert opinions can be requested, ideas can be rejected or sent for further processing. Managers can also delegate their tasks to other people (substitution function). The softwares reminder and escalation system ensures prompt processing at every stage of the process.
In principle, every employee is informed about current tasks by email. If an idea is submitted, the next person responsible receives an email. If, for example, the line manager has received the email, they can access the software via the link contained in the email. Reviewers can be actively involved in the editing process at any point. For example, it is possible to map simple informal reviews (e.g. simple comments) through to a form-based review with specific recommendations by the reviewer. The calculation of benefits (can) be carried out entirely in the software. Different benefit types can be taken into account (mixed forms are also possible). A calculation is made on the basis of stored forms (calculable), or in the area of non-calculable benefits on the basis of stored matrices. Forms such as “think-with-premiums”, “join-in premiums” or “recognition premiums” can be mapped.
Rewards to be paid out are calculated by the software. Factors such as closeness to the task, degree of elaboration of the idea, proportion of ideas, etc. can be taken into account. If an objection procedure is initiated, the software automatically calculates the differential premium to be paid. Notifications for the submitter and co-submitter are created automatically. A premium report shows the premiums to be paid.
The implementation of an idea can be initiated within the software. This can then be confirmed or rejected by the implementer. Ideas that have already been implemented are documented. Several implementations can also be requested in parallel.
The idea is processed in processing steps (workflow status). People are assigned tasks within the workflow (e.g. as reviewers or implementers). Parallel to the processing process in the software, e-mails are sent to the processors (supervisor, reviewer, implementer, etc.) as additional information.
